1. Definitions and Agreement
1.1 Client: The person or organisation hiring services from The Herts Party Co.
1.2 Company: The Herts Party Co.
1.3 Services: Any combination of party planning, venue décor, soft-play hire, crafts sessions, personalised items, or related event services provided by us.
By confirming your booking, you acknowledge that you are the client and agree to be bound by these terms and conditions.
2. Booking, Security Payment & Final Payments
2.1 Security: A non-refundable security payment of £100 is required to secure your date.
2.2 Balance: The remaining balance (Final payment) is due 14 days prior to the event. Bookings made within 14 days must be paid in full at the time of booking.
2.3 Late Payment: If the balance is not received in time, we reserve the right to treat the booking as cancelled and retain the deposit.
3. Services Covered
3.1 Set-up & Collection: Included in our packages unless otherwise stated. We’ll arrive and set up at the agreed time and dismantle promptly at the end of the event or at a time agreed.
3.2 Equipment and Décor: Remains the property of The Herts Party Co unless otherwise specified. Please handle respectfully to avoid damage.
3.3 Any damages are to be replaced at full cost by the client.
4. Cancellation & Rescheduling
4.1 Client Cancellation:
More than 14 days before: loss of security payment only, unless paid in full : where any payments are made in full : these are non refundable also.
Within 14 days (if event has been paid in full) no refund is available.
4.2 Rescheduling: We’re happy to reschedule dependent on availability.
Please contact us as soon as possible — charges may apply depending on notice given.
4.3 Company Cancellation: Rare, but if unavoidable, we will offer a full refund or alternative date. We won’t be liable for additional compensation.
5. Safety & Client Responsibilities
5.1 Supervision: Clients are responsible for supervising children and guests at all times.
5.2 Venue Access: Please ensure the event space is accessible and free of hazards. If we cannot set up due to access issues, we reserve the right to cancel the booking (no refund).
5.3 Damage: Any loss or damage to equipment or décor caused by misuse will be charged to the client.
6. Weather Policy (Outdoor Elements Only)
6.1 Should severe weather affect our ability to set up or safely run an outdoor component (e.g., torrential rain or strong winds), we will offer to reschedule.
6.2 Minor weather changes won’t result in rescheduling but we will always do our best to adapt where possible.
7. Photography, Media & Social Sharing
7.1 We may take photos of the setup or event to showcase our work (for social media and marketing). Please let us know beforehand if you do not wish us to post images featuring your guests or location.
8. Liability
8.1 Our liability is limited to the total value of the package you’ve hired. We’re fully insured for everything we provide on site.
8.2 We can not accept responsibility for injury, loss, or any issues arising from misuse of hired items or lack of supervision.
9. GDPR & Privacy
9.1 We’ll securely store your personal information and use it only for communication related to your booking. Your data will not be passed on to third parties.
